Raid de Himalaya 2010 Volunteer Application Thank you for your interest in applying for the Raid de Himalaya 2010. Each year we invite 150 to 200 volunteers from all around the country and parts of the world to be a part of the Raid. As a volunteer, you will be exposed to a unique traveling experience and become an integral part of one of the most difficult High Altitude Rallye - Raids in the world. The assignment is demanding in the most gruelling fashion. You will sleep late and rise at 0300hrs almost every day and will attempt to shun alcohol and cigarettes with a Gandhian zeal ! You will almost daily be given Herculean tasks if things go amiss, but even worse, you will be asked to man boring time and Radio controls for hours on end till the last creeping competitor goes through. No one will bring food packets or water while you are on your lonely vigil - you have to fend for yourself ! If you get lost sweeping a stage and need to sleep in your car - so be it. Treat it as an adventure and rejoin the next day ! Volunteers are considered Club family and the time and effort they contribute are absolutely crucial to the event’s success. Accordingly, a great deal of time and effort go into the selection of volunteers and all information within this application will need to be filled out accurately and completely. Incomplete applications will not be considered. The time commitment to volunteer for the Raid is approximately 2 weeks in October 2010. The dates are subject to minor changes but the commitment to stay for the entire time initially agreed to, is mandatory. Please consider this before you apply and specify if you can only stay for part of the course. You can only leave early, you cannot join late! Short Service Teams will be given lowest priority. Provisions: What WE provide for Volunteer Teams : • Accommodations for all nights from arrival at Shimla to departure from the finish venue. One room per team whether team members are two or three. • Stationery, Road Books, DCOC hardware, GPS, VHF Radio set, Sticker set will be provided to the Volunteer Team to enable them to carry out their duties in a competent fashion. All equipment is returnable to the Club and has to be looked after in the best possible fashion. • A team of volunteers will be given a fixed imprest in cash to cover fuel, food, contingency etc. They will sign a receipt for the same. * Volunteers may be asked to attend certain courses regarding Radio usage, GPS usage and First Aid + Adult CPR for honing skills. Attendance at these courses will be mandatory. The Club would pay the fee for these courses if any.
What Volunteer Team needs to provide: • You absolutely need your own SuV / 4X4. This may be hired but it must be under your control for the duration of the event. This is with the exception of the medical teams who will be aboard arranged vehicles. • Documents for entry requirements (e.g. passport / Pan/ Voter Card for Inner Line permits) • All necessary clothing and any needed personal medical supplies. • Some basic camping gear (varies depending on assignment; a specific list will be provided later) • Recommended equipment on board your vehicle. List will be given. • A very flexible and open attitude

The deadline to apply for a volunteer position for the 2010 Raid will be June 30th 2010. The Volunteer Teams Coordinator will contact you via email in July regarding your application. An email address is mandatory for all volunteers.
Volunteer Job Descriptions: Below are brief descriptions of the volunteer positions. Please note that you may be asked to do more or less than what is listed within the descriptions and to be flexible in lending a hand in several different departments. 1. Scrutineering and Time Controls ( Senior and Junior teams) Scrutineers are required for the first 2 days of the Raid to validate the safety conformity of a vehicle presented for competition. This involves checking the vehicle against a Scrutiny Checklist and entails working under a qualified scrutineer. The Post Event Scrutiny is conducted at the end of the event to validate the technical conformity of a vehicle against the Group and Class entered. Here the entire work is done under a qualified scrutineer. The Time Controls are located at the start and end of every timed section. The Time control volunteers are stationed at pre-determined points along the entire course. Each competitor team checks in and out with the Time control person. It is your job to record the IN and OUT time of each team and then radio that information to the next radio hop. You are also responsible for signing the team’s Time Cards, so they can prove that they have visited each TC point on the course. You remain at your TC until all the teams have passed through. TCs are sometimes located in very remote areas and require that the TC staff have proper camping equipment and rations to survive comfortably for a day without re-supply. You will need to learn GPS for locating your TC point and to give time. You will also need to learn to transfer time from a Rally Master Clock to a timing button held by the competitor, without error. 2. Area Coordinator Teams at Night Halts (Very senior teams) The Leg end night halts are considered the hub of logistics for the entire rallye and it is the responsibility of the volunteer teams to manage these sites 24 hours a day. Night halts become small cities, alive with competitors, media, TV crews, VIPs, and the general public. Duties include Parc Ferme set-up/breakdown, traffic and parking control, crowd control, and security. Distribution of rooms with clear instructions of how to reach hotels and the time of reporting back etc must be informed to each competitor team. The volunteer teams must be ready to face any logistical emergency in their area at any hour of the day. The capacity to deal with all levels of people from local administration to politicians is essential. 3. Medical The 4 accompanying Medical teams will consist of about 8 doctors, comprising doctors, rescue specialists, paramedics, physical therapists, nurses and podiatrists. As volunteers, you will be roving along the route for the most part treating event-related illnesses (like high altitude induced sickness, hypothermia, orthopaedic injury , dehydration, etc.). The Himalayas are a beautiful place with their share of health hazards, so anticipate a hefty workload. Not to worry, there will plenty to do from the registration of competitors through to the after-care at the night halts. Valid drivers license and the ability to drive a car is required. 4. Media Media staff will help the media coordinator in liaising with the Press and running the Media Center. Journalist movement involves complex logistics and media staff help to make sure journalists know where they are supposed to be at all times. You may be asked to accompany the TV crews to assist them during the Raid. Preference will be given to those that can write reviews daily and submit by evening. Photographers will be welcomed provided they can supply hi res images daily for broadcast. The highest preference will be given to those that can string together 3 minute videos of the days activities for uploading to the web daily. www.rdh4.com staff will work with the webmaster and media coordinator creating and posting journalistic and photographic content for the Raid website. Writing and photography skills and the ability to work under strict deadlines is crucial.
